This Privacy Policy explains what personal data StudioFlow collects, how we use it, and your rights regarding that data — whether you're a client booking sessions, a staff member, or a contracted engineer.
This Privacy Policy covers StudioFlow, the studio management platform used by Full Circle Studios ("we," "us," "our"). StudioFlow is used by our staff and engineers to run studio operations, and by clients through a client portal to book sessions, view invoices, sign documents, and communicate with us. What data applies to you depends on your role — this policy describes all of them.
Clients: name, email, phone, billing address, session and booking history, invoices and payment records, uploaded files (session recordings, mixes, documents), messages sent through the client portal, and any documents you sign electronically. Staff and engineers: name, email, phone, role and permissions, pay rates, task and schedule data, and files you upload to your personal or client folders. All users: login credentials (email/password, or a Google account if you choose to sign in with Google), and — if you enable them — push notification subscription details tied to your device.
When you sign a document (a membership agreement, contract, or similar) through StudioFlow, we record your signature image or typed name, the email address used to verify your identity, the IP address and device/browser information at the time of signing, and a timestamped audit trail of the signing process. This information is retained as part of the legal record of the signed document and is included in the Certificate of Completion generated for that document.
We use the information we collect to schedule and manage studio sessions, generate and send invoices and process payments, provide the client and staff portals, communicate with you about bookings, invoices, and account activity, maintain a legally valid record of signed agreements, and operate internal business functions like task management, file storage, and reporting.
Invoices and payments are processed through QuickBooks (Intuit Inc.). Payment is completed on QuickBooks' own secure hosted payment page. We do not store your full credit card or bank account numbers ourselves. QuickBooks' handling of your payment data is governed by Intuit's own privacy policy.

If you enable push notifications, we use them to notify you about things like booking confirmations, messages, and task assignments. You can disable push notifications at any time from your device or account settings; enabling them is never required to use the app.
We retain booking, invoice, and payment records for as long as required for our business, accounting, and legal obligations. Signed document records (including the associated audit trail) are retained indefinitely as the legal record of that agreement, consistent with standard practice for electronically signed contracts.
We restrict access to personal data to authorized staff based on their role, use secure connections (HTTPS) throughout the app, and store signed-document and uploaded-file content in access-controlled storage rather than public locations.
You can request access to the personal data we hold about you, correction of inaccurate data, and deletion of your account and associated data, subject to what we're legally required to retain (for example, invoice and signed-contract records tied to completed business). Clients with portal access can request account deletion directly from their Account Settings; anyone can also reach us using the contact details below.
StudioFlow is a business tool intended for use by adults — our staff, contracted engineers, and clients booking studio services. We do not knowingly collect personal information from children under 16.
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date.
